Primary Objectives
- This position will be focused on maintaining our paperless employee file system, you will play a crucial role in ensuring the accuracy, accessibility, and organization of our digital employee records. This position offers a hands-on opportunity to develop your skills in HR administration, data management, and compliance while contributing to the efficiency and effectiveness of our HR operations. This role is Monday – Thursday with 8-hour shifts.
Essential Responsibilities (Other duties may be assigned and changed as needed)
- Maintain and update digital employee files, ensuring accuracy, completeness, and compliance with company policies and legal regulations.
- Organize electronic documents for easy retrieval and reference.
- Oversee the scanning and digitization process for paper-based documents, ensuring high-quality digital reproduction.
- Assist with scheduling interviews, coordinating meetings, and managing calendars for HR team members.
- Prepare and distribute HR-related documents, such as offer letters, contracts, and orientation materials.
- Respond to inquiries from employees and external parties, providing information and assistance as needed.
- Ensure compliance with data protection regulations and company policies regarding the handling of sensitive employee information.
Requirements
- Currently pursuing a degree in Human Resources, Business Administration, Information Management, or a related field.
- 0-1 year of experience preferred.
- Must be able to work onsite.
- Ability to work 4 days a week.
- Must have completed your freshman year in college.
- Excellent communication skills, both written and verbal.
- Experience working with Microsoft Excel, Word, Project, PowerPoint.
- Willingness to learn and work in a team environment.
- Proactive thinker and self-motivated.
- Strong time, project, and organizational management skills.
- The ability to work independently.
- Ability to work well with others in fast paced, dynamic environment.
- Understanding of HR policies, procedures, and confidentiality requirements.
